A useful executive update answers three questions quickly: What changed? What does it mean for the business? What needs a decision?

Compare these two versions of the same campaign update:

Before: “We launched three email campaigns, published four landing page variants, and increased traffic by 18%. The team is continuing to optimize performance.”

After: “Traffic rose 18% after the new campaign launched, but qualified leads stayed flat. The extra visits are coming mainly from a broad audience segment that converts poorly. We recommend shifting next week’s spend to the two segments producing qualified leads. We’ll check lead quality again on Friday before changing the budget further.”

The second version gives the CEO a reason to keep reading. It connects activity to an outcome, names the uncertainty, and makes the proposed action clear. It also avoids pretending that more traffic automatically means progress.

Use this one-page structure for your next update:

  1. Headline: The most important change or decision in one sentence.

  2. Evidence: Two or three numbers, with a comparison period and source.

  3. Meaning: Your interpretation, including what the data cannot yet prove.

  4. Action: What the team will do next, who owns it, and when you’ll reassess.

  5. Decision needed: The specific choice, deadline, and recommendation, if leadership input is required.

Give ChatGPT your rough notes and ask it to draft in that order. Then check every number and inference yourself. If the CEO can identify the decision in under a minute, the update is doing its job.

Try this prompt:

Turn the notes below into a one-page update for our CEO. Lead with the most consequential business change or decision, then cover the evidence, what it means, our next action, and any decision we need from leadership.

Keep the language plain and concise. Include comparison periods and sources for numbers when I provide them. Separate observed facts from interpretations. Flag missing evidence or unsupported claims instead of filling gaps. If no leadership decision is needed, say so briefly.

Business goal: [goal]
Audience or campaign: [context]
Reporting period: [dates]
Rough notes and data: [paste notes]
Proposed next step: [action, owner, and review date]
Leadership decision, if any: [choice and deadline]

Happy prompting!
