Your work day has a huge impact on your output, your focus, and how you feel by 5pm. But most of us never actually design it. We inherit a routine from habit, react to whatever lands in our inbox first, and wonder why we're exhausted but feel like we got nothing done.

The truth is, a great work day doesn't happen by accident. It's built around how you think, when you're sharpest, and what actually needs to move forward. ChatGPT can help you figure all of that out and put it into a schedule you can actually follow.

Try this prompt:

You are a productivity coach helping me design an ideal but realistic work day.

My details:
- Role: [e.g. freelance marketer, in-house content lead]
- Peak energy times: [e.g. sharp in the morning, slow after lunch, second wind at 4pm]
- Key tasks this week: [list 3–5 priorities]
- Fixed commitments: [e.g. team standup at 9am, school run at 3pm]
- Biggest time wasters: [e.g. email, Slack, context-switching]

Design a daily schedule with clear time blocks.

For each block, include:
- Task
- Why it’s scheduled at that time (based on energy + priority)
- Rules to protect the time (e.g. no Slack, batching, etc.)

Also include:
1. REAL-WORLD CONSTRAINTS
- Where this schedule is likely to break in a normal day
- What to do when it does (fallback plan)

2. PRIORITY TRADEOFFS
- What gets dropped or delayed if the day gets busy

3. SIMPLE VERSION
- A stripped-back version of this schedule for chaotic days

Be practical, not idealistic. Optimize for consistency, not perfection.

A couple of tips to get more from this:

  • Be specific about energy: "Low energy after lunch" gives ChatGPT much more to work with than "busy afternoon."

  • Run it weekly: Your priorities shift. Update the prompt each Monday and rebuild the schedule to match.

Happy prompting!
